1) Who we are (Data Controller)

This Privacy Policy explains how Injaz Real Estate Trustee LLC (“Injaz”, “we”, “us”, or “our”) collects, uses, discloses and protects personal data when you visit injazrt.ae, aqari.injazrt.ae, contact us, or use our services as a Dubai Land Department (DLD)–approved registration trustee.

2) Scope

This Policy covers:

  • Our websites, forms and chat tools (including WhatsApp links on our site);

  • Walk-in and over-the-counter trustee services;

  • Any communication you have with us by phone, email or messaging apps.

It does not cover third-party websites, apps or services that we do not control (e.g., WhatsApp, payment gateways, analytics providers). Their privacy policies apply.

3) Legal framework

We process personal data in line with the UAE Personal Data Protection Law (PDPL) (Federal Decree-Law No. 45 of 2021) and related guidance, which sets principles (fairness, transparency, data minimisation, accuracy, security) and individual rights (access, rectification, deletion, restriction, portability, and objection, including limits on automated decisions). 4) What data we collect
a) Identification & contact
  • Full name, nationality, date of birth, Emirates ID or passport details;

b) Property & transaction data
  • Title deed details, property identifiers, sales/purchase agreements, NOCs, PoAs, mortgage details, cheques/manager’s cheque data, fee amounts and receipts. (injazrt.ae)

c) Uploaded documents
  • Documents you upload via booking/appointment or service forms (IDs, PoAs, corporate docs, etc.). (injazrt.ae)

d) Office visit data
  • In-office forms, counter submissions and, where applicable, basic security/CCTV footage (for safety and compliance) — CCTV may be managed by the building/landlord under their policies.

e) Website & device data
  • Technical data (IP address, device/browser, pages viewed), cookies or similar technologies for essential site operation, performance and (if enabled) analytics.

f) Communications & preferences
  • Your enquiries via phone, email or messaging apps, and your marketing preferences.

We collect data directly from you, from your authorised representatives (e.g., broker/agent, corporate signatory), and from third parties where necessary (e.g., DLD verifications).

5) Why we process your data (purposes & lawful bases)

Under the PDPL, we rely on one or more lawful bases per activity (consent; perform a contract; comply with legal obligations; legitimate interests; or tasks in the public interest). Examples include: (U.AE)

  • Customer support & communications (respond to enquiries, appointment scheduling). Legal basis: Contract or Legitimate interests.

  • Security, fraud prevention & compliance (record-keeping, audits). Legal basis: Legal obligation, Legitimate interests.

  • Website operation & analytics (run the site, measure performance, improve UX). Legal basis: Legitimate interests and/or Consent for non-essential cookies.

  • Marketing (only with your consent, and you can opt out any time).

6) Who we share data with

We share only what’s necessary, with safeguards:

  • Dubai Land Department & related government platforms to process registrations and issue titles/receipts (as per DLD workflows). (Dubai Land Department)

  • Banks/payment service providers (e.g., card processors, Noqodi) to take payments and reconcile transactions. (Dubai Land Department)

  • Developers, brokers/agents, and your counterparty where your transaction requires coordination or verification (e.g., NOCs).

  • Service providers (secure hosting, IT support, document management, email/messaging tools, analytics), bound by confidentiality and data-processing agreements.

  • Legal/regulatory authorities when required by law or to establish/exercise our legal rights.

  • Corporate transactions (e.g., merger/reorganisation) — with notice and safeguards.

We do not sell your personal data.

7) International transfers

Our providers may store or process data outside the UAE. Where this occurs, we use appropriate transfer mechanisms permitted under the PDPL (e.g., adequacy decisions where available, contractual safeguards, or other lawful bases). (DLA Piper Data Protection)

8) How long we keep data

We keep personal data only as long as necessary for the purposes above, including:

  • DLD-related records and statutory retention periods;

  • Contractual limitation periods; and

  • Operational/audit needs.
    When no longer needed, data is securely deleted or anonymised.

9) Your rights

Subject to applicable UAE law, you may have the right to: access your data; rectify inaccuracies; erase (where applicable); restrict or object to processing; withdraw consent; and data portability. 10) Cookies & analytics
  • Essential cookies run our site and security features.

  • Preference/performance/analytics cookies help us understand usage and improve content.
    Where required, we’ll display a cookie banner or settings panel so you can manage consent for non-essential cookies.

11) Payments

Depending on your transaction, payments may be made by manager’s cheque, credit/debit card, or Noqodi (as used in DLD channels). Card/Noqodi details are processed by the relevant payment providers; we retain only necessary references/receipts. (Dubai Land Department)

12) Communications & messaging apps

If you contact us via WhatsApp or other third-party messaging tools linked from our site, your data is also processed under that platform’s own terms/policies. Please avoid sending sensitive IDs or financial details over unsecured channels unless requested through an approved secure route. (injazrt.ae)

13) Security

We implement administrative, technical and physical controls to protect personal data (access controls, encryption in transit where applicable, role-based permissions, secure document handling, staff training). However, no method is 100% secure; please notify us immediately if you suspect unauthorised access or misuse.

14) Children’s data

Our services target adult property stakeholders. We do not knowingly collect personal data from children. If you believe a child has provided us data, contact cs@injazrt.ae to request deletion unless retention is legally required.

15) Acting on behalf of others

If you submit data for another person (e.g., as an agent, corporate officer or attorney-in-fact), you must ensure you have lawful authority and provide accurate information.

16) Third-party links

17) Changes to this Policy

We may update this Policy to reflect changes to law or our services. Updates will be posted here with a new “Effective date”. If changes are significant, we will take additional steps to inform you (e.g., a site notice).
